You’re not doing anything wrong — what you’re seeing lines up with how things are currently configured. Ryan had already started outlining a plan to consolidate the email systems so everyone ends up with a single mailbox, with old addresses continuing to work in the background. He’s been pulled into a few higher-priority issues, so I’m stepping in to review what’s already been gathered and help move this forward without things continuing to sit on the back burner. In the meantime, the reason everyone is checking two email accounts is simply because there are still two Microsoft 365 environments active. Once consolidation is completed, that should go away. For the emails from @jennifergriffithcpa.com landing in clients’ spam folders, I’ll review the current mail flow and email authentication settings to see what we can correct right away while we finalize the larger plan. I’ll follow up shortly once I’ve reviewed the existing notes and confirmed the next steps, so we can move this forward cleanly and without losing any email history. Thank you for your patience, and enjoy your weekend. Best regards, Marc | 1 | Notices: Notes: Notes longer than 500 characters | Notes: Notes longer than 500 characters

Your domain jennifergriffithcpa.com is correctly set up for Microsoft 365, and mail is flowing as expected. However, one important email authentication feature \(DKIM\) is not yet enabled at the DNS level. This commonly causes emails to be flagged as spam by clients, which lines up with what you’ve been seeing. To complete this step, we just need to add two small DNS records at GoDaddy. No email addresses or mailboxes will change, and there is no downtime involved — this simply improves email trust and deliverability. If you’re able to provide us access to the GoDaddy account that manages the domain, I can take care of this for you. Alternatively, I can send you the exact records to add if you’d prefer to handle it on your end. Once this is in place, we should see an improvement in emails landing correctly while we continue to work on the larger email consolidation plan. Please let me know how you’d like to proceed, and thank you for your help. Best regards, Marc | 1 | Notices: Notes: Notes longer than 500 characters | Notes: Notes longer than 500 characters

Identified that DKIM is not currently enabled for jennifergriffithcpa.com, which is a likely cause of outbound emails being flagged as spam by recipients. Attempted to enable DKIM in Microsoft 365; process failed as expected due to missing DKIM CNAME records in DNS. Confirmed DNS for jennifergriffithcpa.com is hosted at GoDaddy. Required DKIM CNAME records have been identified and are ready to be added once DNS access is available. Client has been contacted to request GoDaddy access \(or approval to add DKIM records on their behalf\). Reviewed user exports from both Microsoft 365 tenants: RobertClarkCPA tenant contains significant legacy users. JenniferGriffithCPALLC tenant is smaller and appears to be the post-acquisition operational tenant. Confirmed admin access exists to both tenants, allowing further work once scope is finalized. Internal discussion revealed there is a third firm \(Crystal Thompson, CPA\) sharing office infrastructure, increasing scope complexity. Pausing mailbox/domain changes pending: GoDaddy access to complete DKIM setup Internal alignment \(Ryan/Frank\) on final tenant/domain strategy and which users/entities are in scope for migration Next steps \(pending\): Add DKIM CNAME records in GoDaddy and enable DKIM in Microsoft 365 Internal sync to confirm consolidation plan across all involved entities Proceed with mailbox/domain changes only after scope confirmation | 1 | Notices: Notes: Notes longer than 500 characters | Notes: Notes longer than 500 characters

Confirmed authoritative DNS is hosted on GoDaddy \(domaincontrol.com\) infrastructure. Added required DKIM CNAME records for Microsoft 365 to DNS: selector1.\_domainkey selector2.\_domainkey Records point to the appropriate \*.onmicrosoft.com DKIM endpoints for the JenniferGriffithCPALLC tenant. No existing DNS records were modified or removed. Allowing time for DNS propagation prior to enabling DKIM in Microsoft 365. Updated ITGlue with: Domain registrar and DNS hosting details BrandCrowd as the management portal for DNS changes Relevant notes for future reference and continuity Next steps \(pending\): Enable DKIM in Microsoft 365 once DNS propagation is complete Continue internal coordination regarding email consolidation scope across involved entities before making mailbox or domain changes | 1 | Notices: Notes: Notes longer than 500 characters | Notes: Notes longer than 500 characters

Frank, Ryan, and I have been discussing the current email setup, and based on what we’re seeing, we feel the cleanest and most reliable long-term solution is to \*\*consolidate the necessary mailboxes from the Robert Clark email environment into your newer Jennifer Griffith Microsoft 365 environment\*\*. This approach allows us to: \* Move staff mailboxes into a single, cleaner tenant going forward \* Reduce confusion from having multiple inboxes \* Improve reliability and manageability long term Importantly, \*\*Robert’s mailbox would also be moved\*\*, but he would \*\*continue using his @robertclarkcpa.com address\*\* as he does today. Once everything is in one environment, that domain can also be used as an \*\*alias\*\* where appropriate, so there is no loss of continuity for clients or contacts. As a separate but related update, we’ve also \*\*resolved the email deliverability issue\*\* you mentioned earlier. DKIM has now been properly configured for `jennifergriffithcpa.com`, which should significantly reduce emails being flagged as spam by recipients. Before moving forward with any mailbox changes, we wanted to confirm that this consolidation plan aligns with your expectations. Once we have your approval, we can coordinate the timing and walk through the process so there are no surprises. Please let us know if you’d like to proceed this way or if you have any questions we can clarify. Updated all remaining users in the source tenant to use the .onmicrosoft.com UPN and removed the old domain from mailbox primary/secondary SMTP addresses. Verified no remaining references to robertclarkcpa.com: Exchange recipients checked \(mailboxes, shared mailboxes, contacts, distribution groups, soft-deleted objects\) Azure AD objects checked via Microsoft Graph \(users, groups, contacts\) Attempted domain removal — currently blocked due to backend Microsoft 365 service replication \(common post-migration caching state\). All admin PowerShell sessions closed to prevent stale authentication/cache locks. Next Step Waiting ~30–60 minutes for Microsoft service synchronization, then retrying domain removal from the source tenant Admin Center. | 1 | Notices: Notes: Notes longer than 500 characters | Notes: Notes longer than 500 characters
