You’re not doing anything wrong — what you’re seeing lines up with how things are currently configured. Ryan had already started outlining a plan to consolidate the email systems so everyone ends up with a single mailbox, with old addresses continuing to work in the background. He’s been pulled into a few higher-priority issues, so I’m stepping in to review what’s already been gathered and help move this forward without things continuing to sit on the back burner. In the meantime, the reason everyone is checking two email accounts is simply because there are still two Microsoft 365 environments active. Once consolidation is completed, that should go away. For the emails from @jennifergriffithcpa.com landing in clients’ spam folders, I’ll review the current mail flow and email authentication settings to see what we can correct right away while we finalize the larger plan. Your domain jennifergriffithcpa.com is correctly set up for Microsoft 365, and mail is flowing as expected. However, one important email authentication feature \(DKIM\) is not yet enabled at the DNS level. This commonly causes emails to be flagged as spam by clients, which lines up with what you’ve been seeing. To complete this step, we just need to add two small DNS records at GoDaddy. No email addresses or mailboxes will change, and there is no downtime involved — this simply improves email trust and deliverability. If you’re able to provide us access to the GoDaddy account that manages the domain, I can take care of this for you. Alternatively, I can send you the exact records to add if you’d prefer to handle it on your end. Once this is in place, we should see an improvement in emails landing correctly while we continue to work on the larger email consolidation plan. Client has been contacted to request GoDaddy access \(or approval to add DKIM records on their behalf\). Reviewed user exports from both Microsoft 365 tenants: RobertClarkCPA tenant contains significant legacy users. JenniferGriffithCPALLC tenant is smaller and appears to be the post-acquisition operational tenant. Confirmed admin access exists to both tenants, allowing further work once scope is finalized. Internal discussion revealed there is a third firm \(Crystal Thompson, CPA\) sharing office infrastructure, increasing scope complexity.
